Privacy Policy

This Privacy Policy describes how Voiralis (Staging) ("we", "us", or "our") collects, uses, discloses, and protects information when you use Voiralis (Staging) (the "Service"), including our walkie-talkie channels, station-to-station telephony, audio and video calls, channel messaging, voice messages, and related account services.

1. Information We Collect
Account information

When you register, we collect your name, email address, and password (stored using one-way hashing). If you enable optional security features, we may also process two-factor authentication data or passkey credentials supported by your device and browser.

Voice messages

When you use push-to-talk features, we process and store the audio you transmit, together with metadata such as transmission duration, timestamps, channel membership, and related activity needed to deliver and replay it for other authorized channel members.

Calls (audio and video)

Telephony calls between stations, and audio or video calls started from a channel, are carried live through our real-time media infrastructure. We do not record or store the audio or video content of these calls. We do process call metadata needed to operate the feature — the participants, station or user identifiers, start and end times, duration, and status (e.g. answered, missed, transferred) — which is retained as part of your call history.

Channel messages

Text messages you post in a channel are stored so that other members can read the channel's history, together with the sender and timestamp of each message.

Presence and directory data

To show who is online, away, or on a call, and to route calls to the correct extension, we process station and extension identifiers, presence status, and directory information (such as your name and extension number) and share it with other authenticated users of the Service.

Technical and usage data

We automatically collect information such as IP address, browser type, device information, session identifiers, application logs, and interaction data required to operate, secure, and improve the Service. Establishing an audio or video call also requires sharing network information (such as your IP address) with other call participants so a direct or relayed media connection can be made — this is inherent to how real-time calling works and is not something we can disable while still providing the feature.

2. How We Use Information

We use collected information to:

  • Provide, maintain, and improve the Service
  • Authenticate users and protect accounts
  • Deliver voice messages, calls, and real-time channel features
  • Show presence, directory, and call history information to relevant team members
  • Monitor performance, troubleshoot issues, and prevent abuse
  • Comply with legal obligations and enforce our Terms of Service
  • Communicate with you about the Service, including security notices
3. Legal Bases for Processing

Where applicable law requires a legal basis, we process personal data to perform our contract with you, pursue legitimate interests in operating a secure communication platform, comply with legal obligations, and, where required, based on your consent (for example, microphone or camera access in your browser).

4. How We Share Information

We do not sell your personal information. We may share information:

  • With other users in your channels or calls when you transmit a voice message, post a channel message, appear online, or participate in a call
  • With infrastructure providers that host, store, or transmit data on our behalf under contractual confidentiality and security obligations
  • With our AI processing provider, solely to transcribe voice messages you submit and to review channel names and descriptions for policy violations, as described in Section 5
  • When required by law, regulation, legal process, or to protect rights, safety, and security
  • In connection with a merger, acquisition, or asset sale, subject to appropriate safeguards
5. AI-Assisted Features

Certain features are powered by a third-party AI provider (currently Google). When you submit a voice message, its audio is sent to that provider to generate a text transcript. When a channel is created or edited, its name and description are sent to that provider to check for policy violations. If you interact with the Service's AI assistant, your spoken requests and the assistant's replies are processed by that provider to generate a response. These providers process this content under their own data processing terms and do not use it to train their models except as required to provide the service to us.

6. Data Retention

We retain account information for as long as your account is active. Voice messages, channel messages, and call history metadata are retained to provide channel history, call history, and Service functionality, and remain available until you delete them, an administrator removes them, or your account is deleted. We do not apply an automatic retention schedule to this content today. We do not retain the audio or video content of calls at all — only the metadata described in Section 1. We may retain certain logs and backups for a limited period for security, fraud prevention, and legal compliance.

7. Security

We implement administrative, technical, and organizational measures designed to protect information, including encrypted transport for the Service and its calls, access controls, and secure credential handling. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Your Rights and Choices

Depending on your location, you may have the right to:

  • Access, correct, or delete your personal information
  • Object to or restrict certain processing
  • Request portability of information you provided
  • Withdraw consent where processing is consent-based, such as by revoking microphone or camera permissions in your browser
  • Lodge a complaint with a supervisory authority

9. Cookies and Similar Technologies

We use cookies and similar technologies for authentication, session management, security, and Service functionality. You can control cookies through your browser settings, but disabling them may limit your ability to use the Service.

10. International Transfers

If you access the Service from outside the country where our systems are located, your information may be transferred to and processed in jurisdictions that may have different data protection laws — including by the AI processing provider described in Section 5, which may process data outside your country. We take steps designed to ensure appropriate safeguards where required.

11. Children's Privacy

The Service is not directed to children under 13 (or the minimum age required in your jurisdiction), and we do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will take appropriate steps to delete it.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the revised policy on this page and update the effective date. Material changes may also be communicated through the Service or by email where appropriate.
